A UK-based financial services firm offering mortgages, pensions, insurance, and investment advice.
Founded in 2015, over the course of seven years, the business has grown steadily to a team of 20, building a reputation for trustworthy, personalised financial guidance.
Operating in a highly regulated sector, the firm must meet strict FCA and GDPR compliance requirements while managing sensitive client data and delivering a high standard of service. As the business expanded, the leadership team recognised that the technology supporting their operations needed to evolve - especially to ensure data security, improve internal workflows, and enhance the client experience.
Challenge
For a business handling sensitive client data, trust, compliance, and efficiency are everything. But despite having Microsoft Office 365 in place, staff were still falling victim to phishing attacks, and IT issues were draining time and morale.
The existing setup felt clunky and hard to manage - support tickets were constant, onboarding new staff was slow, and sharing files securely was a daily challenge. Leaders were worried about security, compliance gaps, and the amount of time their team spent battling tech that was supposed to help them.
Onboarding younger team members was also becoming more difficult. Many were used to using modern, cloud-based tools like Google Workspace in their personal or academic lives, and found the firm’s legacy systems frustrating and outdated.

How We Responded
We introduced a safer, smarter way to work - built for today’s financial firms.
We migrated the entire business to Google Workspace, a secure, cloud-first solution that eliminated the complexity of their old systems. Emails, calendars, files, and contacts were brought into one streamlined platform.
To improve data protection, we implemented 2-step verification, introduced Gmail’s confidential mode, and replaced outdated PCs with secure, fast Chromebooks. Google Drive centralised file management with strict access controls, and Google Vault ensured audit-ready data retention.
We also worked closely with the team to modernise how they engage clients. Tools like Google Jamboard allowed staff to annotate documents live, making complex advice easier to understand and helping build trust with clients remotely.
