Our Client
A London-based law firm offering tailored legal advice across family law, property, commercial, employment, and dispute resolution.
Founded in 2004, the firm has grown steadily from its Oxford roots and now serves clients across the UK, with a reputation for clarity, discretion, and dependable legal support.

With a growing caseload and a hybrid working team, they needed modern, scalable systems that could keep up with the complexity of legal work - without sacrificing compliance or client service.
Challenge
The firm was using Microsoft Office 365, but the system had become a daily source of frustration. Staff struggled with inconsistent file management, version control issues, and unreliable device performance - especially when switching between office, court, and remote locations.

Security was a growing concern. Several phishing incidents had compromised email accounts, raising red flags around GDPR compliance and the confidentiality of client data. Personal devices were being used for remote access, making it harder to enforce consistent security protocols.

Younger team members found the tools unintuitive and slow, which made onboarding harder and collaboration disjointed. Scheduling meetings, preparing case files, and managing time-sensitive court deadlines all took longer than they should have. The leadership team also wanted to move away from being so reliant on internal IT support and legacy hardware.

They needed a system that was intuitive, secure, cloud-based, and built for the fast-paced world of legal services.
We've grown faster because Google Workspace has helped us organise our cases without worrying about things getting lost or people not knowing what to do. During this journey, we’ve transformed the way we work and are on our way to doubling the number of cases we accept per year - all thanks to Future Matrix and their wonderful team.”

How We Responded
Delivering a cloud-first, compliant solution tailored to the legal sector.

Thompson & Rowley LLP transitioned to Google Workspace—a secure, cloud-based platform built for collaboration and compliance.

A restructured Google Drive system aligned files by department, case type, and role, making it easier to find and manage key documents. Data was stored on UK-based servers with strict access controls, and Google Vault was implemented to archive emails and case files with custom retention rules.

To streamline operations, we integrated Clio—their practice management system—with Gmail, Calendar, and Drive, enabling seamless case tracking, communication, and file access from anywhere.

Security was strengthened with 2-step verification, phishing alerts, and confidential mode, while automated flags helped prevent accidental data sharing. A dedicated Google Site was introduced as an internal knowledge hub, speeding up onboarding and reducing duplication.

Support included tailored training sessions and the appointment of internal Google Champions to guide adoption and provide peer-to-peer support.
