Idea Space is a creative and friendly co-working space located in Battersea, London.
The facility provides access to super-fast wi-fi, all the tools needed to develop and deliver projects, as well as artisan coffee! The team at Idea Space are committed to building a local community of like-minded individuals, who want to break the 9-5 cycle of traditional working and start a platform to build their dreams!
Close to the busy Clapham Junction station, Idea Space offers monthly memberships tailored to their client’s requirements, including meeting rooms of different sizes, event space and a range of ‘pay as you go’ services.
Challenge
As Idea Space grew, so did the need for a more agile and unified way of working. The business was using a mix of Dropbox, OneDrive, and Box—resulting in fragmented file storage, access issues, and a lack of version control. Teams struggled to find the right files, manage permissions, or work collaboratively in real-time, especially when team members left or changed roles.

How We Responded
As certified Google Partners, we worked closely with key stakeholders to design a streamlined solution - without overcomplicating things.
We migrated the entire business from Office 365 to Google Workspace and consolidated all files into Google Drive. This brought everything into one secure, easy-to-manage platform. Permissions were set up by department and user to ensure the right access across the team.

To support a smooth transition, we rolled out a change management plan, including hands-on training to help staff get comfortable with the most relevant Google tools and troubleshoot common issues independently.
